When Is It Time to Automate a Business Task?
Not every process deserves automation, and automating the wrong thing can create more work than it saves. Here is a simple, practical way to decide what to automate first, which tools to start with, and how to keep humans in control where it matters.

Look for repetition
If someone on your team copies data between tools, sends the same email, or updates the same spreadsheet every day, that task is a strong candidate. Repetitive, rule-based work is exactly what automation does best.
Estimate the time saved
Multiply how long the task takes by how often it happens. A ten-minute job done twenty times a week is over three hours saved weekly, which usually justifies the setup time within a month.
Start small with the right tools
Pick one workflow and automate it with a tool like n8n or Zapier. Connect the apps you already use, such as forms, email, Google Sheets or your CRM, and measure the result before adding more.
Once the first workflow runs reliably for a few weeks, expand to the next one. Many small automations are easier to maintain than one giant one.
Keep a human in the loop
For anything involving money, contracts or customer communication, add an approval step or an alert so mistakes are caught early. Good automation handles the routine and flags the exceptions.
Watch for silent failures
Automations break when an app changes or a login expires. Turn on error notifications so a failed run reaches you the same day, not at the end of the month.
